About You:
The Construction Coordinator manages project documentation for new construction jobs from contract award through closeout, so equipment releases, submittals, change orders, and billing stay on schedule with the general contractor. The role supports the New Construction Salesmen and Installation Managers from the office, freeing them to focus on selling and building.
Minimum Qualifications:
2+ years in construction project coordination, contract administration, or construction accounting, ideally with a subcontractor or general contractor.
Hands-on experience preparing AIA G702/G703 pay applications and schedules of values.
Familiar with submittals, RFIs, change orders, and construction schedules; able to read basic drawings and specifications.
Comfortable with Procore or similar project portals, ServMan, Excel, and Microsoft Teams.
Highly organized, deadline-driven, and accurate with numbers and documents.
Associate’s or bachelor’s degree in construction management or business preferred.
Valid driver’s license for occasional site visits.
Responsibilities:
Project Setup and Documentation
Set up the project file after contract award: contract, scope, drawings, specifications, schedule, and general contractor contacts.
Keep project records current in ServMan and the general contractor’s project portal, such as Procore.
Track deadlines for submittals and RFIs; prepare and send submittals, log responses, and distribute approved documents to the Salesman and Installation Manager.
Collect closeout documents, including warranties, O&M manuals, and as-built information.
Equipment Release and Shipping
Assist the Salesman with equipment releases once submittals are approved and the site schedule is confirmed.
Track ship dates with manufacturers and the Customer Order Specialist, and alert the Salesman, Installation Manager, and general contractor to delays.
Update the project schedule as release, delivery, and installation dates change.
Change Orders and Billing
Track change orders from request through approval, and keep a running log of pending and approved changes.
Update the schedule of values as change orders are approved.
Prepare and submit monthly AIA pay applications (G702/G703), including retainage, lien waivers, and any required backup.
Coordinate with the AR Specialist so pay applications are followed up and collected.
Safety and Contractor Onboarding
Complete general contractor onboarding and prequalification packages, including certificates of insurance and company safety information.
Prepare required safety documentation, such as site-specific safety plans and job hazard analyses, with input from the Installation Manager and the Senior Technical Advisor and Safety Manager.
Confirm installation subcontractors have the onboarding, insurance, and safety paperwork each site requires before work starts.
Working Environment
Mostly office-based in Kansas City. Occasional visits to construction sites as needed, which require personal protective equipment and following site safety rules.
